Project Management/ Business Administrative Intern

Job roles/ Key Responsibilities will include, but are not limited to:

  • Perform routine actions such as creating, managing, and maintaining databases, such as shared drive resources, to include, but not limited to tracking status of travels actions/deliveries, meetings dates, training, and reviewing correspondence for correction of deficiencies; meeting organization and preparation, and tracking action items. 
  • Facilitate a wide variety of reports, and other documents, determining and modifying format, content and frequency from information obtained from staff and student, files, and other sources.
  • Prepare and support budget and financial planning and reporting, and program performance, cost, and schedule analysis. 
  • The Intern will help with one or more projects that the department is working on with an understanding of Project Management methodologies and processes in a professional environment.
  • Under the supervision of the Administrative Manager, ensure projects are in scope, on schedule, and within budget.
  • Monitor each project’s progress and optimizing processes.
  • Contribute to special projects management, including logistics and inventory analysis for CSPAR.
  • Collaborate with other departments to understand and improve business processes.
  • Document and present findings and recommendations in team meetings.
  • Provide an active role in the development of all project deliverables.
  • Ensure quality and timely submission of all project deliverables and documentation as assigned.
  • Operate with broad direction to support administrative functions, with focus on administrative processes, procedures, tools, and protocol to perform a robust range of administrative tasks, such as coordinating large events requiring substantial discretion and attention to protocol. 
  • Provide administrative support functions for the CSPAR office to include organizing meetings, calendar invites, answering phone calls, and conducting travel coordination.
  • Support technical and management personnel; transmitting documents and data files; providing general support for business meetings and other events, and maintain various organizational databases; tracking performance reports, personnel action requests, providing strategic resource management, file management and tracking data call requests. 
  • Maintain appointment calendars, VTC and conference room schedules. Schedule meetings and conferences, including those involving staff from outside the immediate office. 
  • Assist in various operational and administrative tasks to support daily business functions.
