Publishing and Marketing Assistant

​W. W. Norton & Company is seeking a full-time Publishing and Marketing Assistant. Candidates should have a high level of curiosity and eagerness to learn more about marketing and publishing operations while handling general administrative tasks for the marketing and publishing departments. This person would work with the marketing managers for a subset of our college disciplines and directly with the Publishing Director and Publishing Process Specialist throughout the publishing lifecycle.


Essential Job Responsibilities Include:

Publishing Responsibilities

  • Coordinate prelaunch meetings for upcoming titles, from summer planning through the fall meeting season.
  • Build and maintain the prelaunch schedule, schedule meetings, ensure that all the necessary people have the meeting information and matierials
  • Maintain the prelaunch space in Smartsheet, including generating the memos from the memo template, managing permissions, and creating reports from final memos
  • Attending the prelaunch meetings to take minutes and assist with AV
  • Department coordinator for invoices and freelance agreements
  • Review invoices for accurate accounting codes
  • Work with editorial assistants to draft freelancer service agreements and submit materials for the contracts team
  • Coordinate Publishing Process Meetings
  • Send invites and agendas
  • Post documentation from PPMs to the Publishing Process Hub Sharepoint space
  • Provide support for regular events in the publishing lifecycle (digital sampling, link availability, demo data population)
  • Creating and maintaining tracking documents
  • Coordinating with marketing, product, and editorial departments on deliverables
  • Take notes in the bi-weekly production meeting on project status
  • Support Publishing Director on fiscal year projection for editorial, media production, and project editorial expenditures
  • Assisting the Digital Development Studio with scheduling meetings

Marketing Responsibilities:

  • Assist with all stages of the design process for marketing materials, including handouts and catalogs.
  • Monitor discipline email inboxes and engaging with instructors’ inquiries and requests
  • Manage our internal Sharepoint site, ensuring all marketing and sales tools are delivered to the sales reps in a timely manner and sending regular updates about new or updated materials.
  • Assist with the design and maintenance of our marketing landing pages.
  • Coordinate mailings, including writing direct marketing emails and developing mailing lists.
  • Assist the marketing managers with marketing reviews and setting up webinars in Pardot and Zoom.
  • Reseach and convert leads that come through our marketing automation tool
  • Monitor digital exam copy requests, processing them, and following up with instructors
  • Sales support duties including answering questions from professors, sending sample copies from exam copy request forms, and posting relevant updates in SalesForce.
  • Format and posting articles on the Norton Learning Blog.
  • Provide general administrative assistance which could include maintaining book metadata, pulling lists, maintaining marketing databases, scheduling meetings; taking minutes at meetings; check requests; expense and budget reporting, etc.


 

Required Qualifications:

  • Bachelor’s degree
  • Previous experience in the book industry preferred but not required.
  • Extremely well organized, strong attention to detail, follow-up skills and excellent time management skills.
  • Strong writing and communication skills, and ability to work well within a team and individually.
  • Proficiency with Outlook, Word, and Excel required, familiarity with Sharepoint, Smartsheet, and a variety of social media platforms, preferred.
  • Knowledge of virtual meeting software (e.g. Zoom and Microsoft Teams) a plus
  • Experience with Adobe Creative Suite, Canva, iMovie, Smartsheet, or email marketing services a plus
  • Must be able to work regular business hours from our New York City headquarters
  • Employment eligibility to work with W.W. Norton & Company in the US is required

Currently available benefits:

  • Annual compensation for this position is $48,000. All salaries and salary ranges posted by Norton may vary depending on experience, skills, location and like considerations. Generous paid time off, paid holidays, and summer Friday afternoons beginning in July
