Office of Education and Training Student Assistant

Department: Department of Psychiatry

Supervisor: Yunliang (Lily) Luo, Non-GME Trainee Manager

Position Purpose:    

To assist the the Office of Education and Training (OET) in the Department of Psychiatry.  OET serves 135+ trainees, including 5-10 postdoctoral fellows working with various faculty in the department.

Job Description:

For these duties, the coordinator will be working with the Non-GME Trainee Manager and other coordinators to provide high quality administrative assistance with different training program within the Office of Education and Training. This role will assist the tracking, onboarding, and management of Advanced Practice Providers, student intern, volunteers, and shadowing personnel as needed. Duties in these roles will include assisting with growth and establishment of new training programs and procedures, in addition to aiding in the recruitment and selection process for new trainees, trainee onboarding, operating didactics and seminar series where applicable, aiding in reporting and renewal submissions where applicable, data management, procurement, planning and implementing retreats and graduations, website updates, and overall trainee/faculty support.

Eligibility Requirements:

  • Must be a current student taking at least 6 credit hours (undergraduate) or 3 credit hours (graduate)
  • Must be proficient in the Microsoft Office Suite, including Outlook, Excel, and Word Must be dependable, detail-oriented, flexible, organized, willing to learn, possess the ability to multi-task, and have a professional demeanor.
  • Must have solid written and oral communication skills, including the ability to communicate clearly and professionally via telephone and email.

Knowledge, Skills, and Abilities:

Key Responsibilities:

  • Tracking trainee funding and budget allocation
  • Calendar management, sending invitations, and room reservations for Office of Education and Training events, including but not limited to: PURPLE didactics, R25 scheduling, Social Work interviews, etc. 
  • Documenting procedures, timelines, process, and policies for existing and new training programs with the Non-GME Trainee Manager.
  • Assisting planning and implementation for retreats and other and postdoctoral events as needed in accordance with other OET coordinators. 

Length of Employment:

The end of the semester when the student graduates.

Remarks:

The Student Assistant commits to showing up for work diligently and punctually, honesty, performing assigned tasks, following directions, taking initiative, reliability, confidentiality, checking work for thoroughness and accuracy with attention to detail, and interest in learning new skills, especially mandatory computer skills. Ideal candidates will be willing to work up to a maximum of 25 hours weekly.

Pay Range:

16.50 per hour
