This recruitment will be used to fill one full-time Library Technician 3: Collection Maintenance Specialist (Storage) position for OSU Libraries and Press at Oregon State University (OSU).

The purpose of this position is to support the work of the Resource Sharing & Collections Maintenance Unit Manager in the Resource Acquisitions & Sharing Department (RAS) by coordinating and supporting Collection Maintenance processes, services, projects, and essential activities.

 

This person will be responsible for coordinating the storage service point daily, including, but not limited to retrieving, scanning, processing, and reshelving materials from storage. This may include the scheduling, training, and coordinating of student employees supporting the storage service workflow.

 

This position will focus on projects related to the physical collections at the OSU Valley Library's off-site storage facility, and supporting, leading, and/or coordinating projects related to the physical collections of the OSU Valley Library and their associated online records in the integrated library system.

 

This position will lead student employees in the maintenance, physical arrangement and re-arrangement of the collections as well as Collection Maintenance projects for the print collections of the OSU Valley Library's off-site storage facility, and/or at the OSU Valley Library.

 

In collaboration with the Resource Sharing Workflow Coordinator and the unit manager, this person will provide oversight of student employees. Support of student employees includes, but is not limited to, training, scheduling, and providing feedback on performance.

Key Responsibilities

 

80% – COLLECTION MAINTENANCE

 

• Plans, coordinates, oversees, supports, and completes Collection Maintenance projects such as, but not limited to, large-scale shifting and integration of materials into collections across the Valley Library and off-campus storage, in an accurate, efficient, and timely manner with student and Collection Maintenance staff employees.

• Coordinates, maintains, organizes, and/or leads student employees in the maintenance and organization of the Valley Library’s print collections and off-campus storage collections.

 

• Collection maintenance tasks and projects include, but are not limited to, deselection, shifting, shelving, re-shelving, rail cleaning, and/or inventory related tasks and projects.

 

• Assists other Collection Maintenance staff with collection maintenance service needs and/or special projects.

• Coordinates and/or supports the move of collections to/from Valley Library to/from the off-campus storage facility.

 

• This includes, but is not limited to, coordinating and requesting a campus motor pool vehicle, planning and scheduling student employee support, coordinating boxing/unboxing, staging, and integration of materials, troubleshooting and flowing-up on problem items and inquiries, updating related spreadsheets and online records with accurate data, communicating with stakeholders and requestors.

 

• Coordinates, oversees, supports major withdrawal projects in the Valley Library’s off-campus storage, and supports major withdrawal projects in the Valley Library.

 

• This includes, but is not limited to, troubleshooting and following-up on problem items and inquiries, updating related spreadsheets and online records with accurate data, communicating with stakeholders and requestors, locating and transporting volumes from shelves to processing locations, often making final retention decisions at the shelf using general retention criteria.

 

• Researches item problems using the online catalog and other reference tools, and updates item location codes, statuses, and barcodes as applicable; routes all other item problems to cataloging staff as appropriate.

• Identifies inconsistencies within the collections and recognizes whether they can fix immediately or if further assistance and planning is needed.

• Assists library patrons in locating materials or refers them to appropriate service point as needed.

• Supports the collection and compilation of storage request data and statistics for Resource Sharing staff, unit supervisor, and departmental reports.

• Coordinates the storage service point.

 

• This includes, but is not limited to, retrieving, processing materials to/from storage, scanning, and completing storage service requests.

• Maintains and troubleshoots scanner equipment and works with Library Tech support and/or the vendor for scanner maintenance and functionality and/or to resolve problems.

• Supports the physical arrangement and re-arrangement of the storage facility collection as needed.

• Supports searching for requested materials, missing items, shelf checks, and other related item search and retrieve requests.

 

• Monitors, maintains, and answers Collection Maintenance unit shared email inbox throughout the day, sending out follow-up responses, and keeps Collection Maintenance unit shared email inbox organized.

 

• This includes, but is not limited to, resolving routine and non-routine and complex problems. If unable to resolve a non-routine or complex problem, connects with Collection Maintenance team and unit supervisor for assistance.

 

• Documents workflows and assists in training new workers.

 

10% – LEAD WORK – STUDENT EMPLOYEES:

 

• Works collaboratively with the Resource Sharing Workflow Coordinator, Collection Maintenance staff, and student supervisor on student assignments.

 

• Assigns work, trains, and oversees completion by student employees for Collection Maintenance tasks and projects.

 

• Serves as primary lead worker for student employees who are responsible for moderately complex tasks to ensure work is done accurately and within established timeframes.

• Coordinates, provides direction/instruction to, maintains, and leads student employees in Collection Maintenance workflows, tasks, and projects.

• Monitors work of student employees to ensure that tasks and project assignments are done correctly.

 

• When student performance does not meet standards, works with the student to support and improve performance, and advises supervisor accordingly.

 

• Assists in the evaluation process of student employees by providing input on job performance to the student supervisor and Resource Sharing Workflow Coordinator as appropriate.

 

10% – DEPARTMENTAL EXPECTATIONS:

 

• As a member of the OSU Valley Library and the department, time will be spent in unit, departmental and library wide meetings, contributing to discussions and decision making, working on special projects as assigned. Provides backup for staff during their absences. May also support special projects in the RAS Department or in the library.

 

What You Will Need

 

Bachelor’s degree plus two years of current (within 5 years) experience in a Library; OR 4 years of current library experience. AND Advanced proficiency in multiple library specific computer applications, e.g. integrated library systems, database applications, institutional repository; content management systems. Some positions may also require in-depth knowledge of specialty area(s), e.g. original cataloging, complex copy cataloging, serials management, ILL management, government documents, image resources, music.

 

Additional Minimum Qualifications

 

• Ability to handle a high level of physical activity (i.e. lifting, carrying, reaching, etc.) due to regular daily tasks within the physical collection.

• Demonstrated ability to use an integrated database and/or book inventory management system (ex. Alma, Voyager, Sierra, Folio, etc.).

• Demonstrated ability to use Excel (data functions, data validation, etc.).

• Must have or be able to obtain a valid driver’s license.

 

This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

Working Conditions / Work Schedule

 

The work is physically demanding with constant standing, reaching, lifting, carrying up to 50 lbs., and pushing/pulling book carts up to 100 lbs., in addition to exposure to dust. This position may also work with damaged materials that may include, but not limited to, dust, dirt, and occasion, mold, and pests. This position would be regularly driving to off-campus storage to process storage requests. This position is in a fragrance-free office/library environment with possible exposure to fluorescent lighting. This is an on-site only position and about half of the work schedule involves sitting at and working at a computer workstation. Remote work is not an option for this position. The work schedule is Monday through Friday, 8:00AM-5:00PM.
