Program Specialist

The Center for Security and Emerging Technology (CSET) is focused on studying the security impacts of emerging technologies, supporting academic work in security and technology studies, and delivering nonpartisan analysis to technologists and policymakers. CSET is currently accepting applications for a Program Specialist position to oversee its intern and student portfolios. 


 

The Program Specialist will play a key role in enhancing and managing CSET’s Inaugural Internship Program.

Reporting to CSET’s Director of People and Operations, The Program Specialist will oversee CSET’s student and internship initiatives, as well as providing general administrative, organizational and project management support to ensure CSET’s operations run smoothly. They will be responsible for: 


 

Internship Program Management:

  • Managing CSET’s Inaugural Internship Program, along with other student- focused initiatives, to ensure success and increase impact.
  • Serving as the main point of contact for interns, prospective interns, student employees, and relevant stakeholders.
  • Representing CSET at intern-related recruiting events, conferences, and job fairs 
  • Working with the External Affairs team to design and execute intern-related external outreach via social media, targeted CSET emails, and events, among others 
  • Managing the appointment process, including devising position descriptions, collecting and processing hiring appointment paperwork, and ensuring a successful onboarding/offboarding for intern cohort
  • Managing relevant student and intern administrative documentation and preparation, such as hiring spreadsheets, and onboarding guides/checklists, among others
  • Providing logistical support, such as securing necessary office supplies, coordinating workspaces, assigning onboarding buddy’s, and giving space orientation and office/campus tours for intern cohort
  • Organizing cohort-building activities such as welcome events, happy hours, and professional development sessions
  • Ensuring Intern onboarding policies, procedures and job aids are kept updated 
  • Coordinating Internship training and professional development programming, including identifying training opportunities, guest lectures, coordination of site visits, and evaluation of training performance via surveys.


Georgetown Student Hiring:

  • Overseeing the development and execution of a student-hiring strategy to source a pool of qualified, diverse candidates to serve as Georgetown student employees;
  • Managing and updating student-related materials such as hiring spreadsheets, application packages, CSET’s career page, and listserv, among others;
  • Supporting hiring managers with applicant screening and initial down-selection; 
  • Designing and managing resources for potential applicants, candidates, and current student employees, including job aids, onboarding materials, offboarding support, etc.;
  • Approving student time cards and providing operational support to current student employees;
  • Connecting current student employees to other relevant, ongoing CSET projects by understanding their skills, interests, and capacity to facilitate matchmaking and increase project support.


Administrative and Operational Support:

  • Overseeing CSET's policies, processes and job aids; ensuring they're up to date, relevant and accessible;
  • Assisting in the development of policies and processes aligned with CSET's mission, culture, and vision;
  • Contributing to CSET’s operational capacity, including but not limited to: 
    • Helping monitor and manage office budgets and expenses;
    • Coordinating with vendors and service providers as needed;
    • Creating, updating, and maintaining office databases, spreadsheets and documents;
    • Assisting in data collection, analysis, and reporting as required;
  • Handling confidential and sensitive information with discretion;
  • Contributing to CSET’s organizational development, including internal working groups, seminars, and discussions; and supporting and mentoring colleagues; and
  • Additional duties as assigned.


QUALIFICATIONS:

  • Bachelor’s degree in relevant field;
  • 3-5 years of relevant work experience providing administrative, operations, HR, talent, and/or project management support;
  • 1 year of experience planning and executing events; 
  • Exceptional organizational skills and strong attention to details; 
  • Demonstrated commitment to diversity, equity, and inclusion; 
  • Ability to carry on assigned tasks with limited need for supervision;
  • Proficiency with office productivity tools like Google Docs/Sheets, Microsoft Office, etc.;
  • Excellent oral and written communication skills;
  • Excellent problem-solving skills, and critical thinking skills;
  • Ability to work successfully in a collaborative matrixed/multi-disciplinary environment;
  • Motivated, enthusiastic, intellectually curious and self-driven; 
  • Alignment with CSET’s mission, values and culture;
  • Ability to work in the United States without employer sponsorship.

This position is based in the United States and offers no relocation assistance.
