Administrative Assistant
Dynamic and growing law firm specializing in complex civil litigation and criminal defense seeks administrative assistant to support office manager and attorneys in a variety of tasks. Work will include scheduling interviews, updating expense reports, booking travel arrangements, document organization and management, supply ordering, and reception coverage. Ideal candidate is a self-starter, highly organized individual with good analytical skills and adept at working on teams. Opportunity for growth.
Responsibilities include:
Distribute weekly expense reports to the firm credit card holders; ensure that all credit card charges have corresponding allocations and receipts.
Coordinate all interviews and communicate with candidates in a timely and professional manner; provide updates to supervisor on a weekly basis.
Book and manage travel reservations for partners and staff.
Maintain organized office filing system and an accurate electronic index of all case files.
Assist attorneys with office organization and case file management.
Consolidate closed matter files, index and coordinate shipment to storage.
Participate in paralegal support projects (as needed)
Assist with other administrative projects (as needed)
Shall perform other clerical duties, such as preparing templates, drafting correspondence, organizing and updating Outlook contacts, handling mail, faxing, supply management, kitchen maintenance and reception coverage.
Qualifications:
Great organizational and problem-solving skills
Proficient in Microsoft Office – Outlook, Word, Excel, PowerPoint
Clear verbal and written communications skills
Excellent follow-up skills
Must be able to take initiative, prioritize and multitask
Professional demeanor and positive attitude
Pluses: Experience in the legal field and/or paralegal support
Salary: Commensurate with experience
