Job Summary:

This recruitment will be used to fill one full-time, Office Specialist 2 position for Oregon State University's Portland Center.

The Office Specialist 2 will be based in Oregon State University's Portland Center in the heart of downtown Portland. This position will have the exciting opportunity of being part of a fast-paced and growing facility at the OSU's Portland Center.

This position shares oversight of the main reception, the center's main phone line and email, and office duties with a team of student employees and other operations staff. It will work directly with Porland's Community, Conference Services, and Social Media Manager to support social media and marketing content. It supports meetings and events at the OSU Portland facility in collaboration with other operations and event staff and a team of student workers. This position will keep things running smoothly by setting rooms, receiving catering, staffing, and supporting events, etcetera while serving as a welcoming, helpful presence to our students, staff, faculty, community partners and guests.

A high level of organizational skill will be necessary to ensure the success of operations at the OSU Portland facility.

The position will report to the Portland Operations Director.

Key Responsibilities

50% RECEPTION, OFFICE, AND ADMINISTRATIVE MANAGEMENT
40% EVENT/MARKETING SUPPORT
10% OTHER DUTIES AS ASSIGNED

What You Will Need

• Superior customer service skills; demonstrated professionalism, organizational skills, and attention to detail.
• Experience in a position that included event support or coordination.
• Experience with social media platforms; strong verbal and written communication skills
• Demonstrated ability to work in a fast-paced environment; multitasking, taking initiative, working independently, as well as on a team collaboratively.
• High computer proficiency: an ability and willingness to learn new programs & applications quickly.

What We Would Like You to Have

• Bachelor’s degree in any discipline
• Experience that included oversight of business operations (including purchasing and staffing)
• Experience using an online or integrated room/event scheduling system
• Experience working in higher education or related field
• Supervisory experience
• A demonstrable commitment to promoting and enhancing diversity

Working Conditions / Work Schedule

Typical office environment. Schedule is Monday-Friday, 8am-5pm and may include some evening hours as needed for event or logistical support.
