Administrative Specialist, Accounting

The Town of Needham seeks a highly qualified individual to fill the full-time position of Administrative Specialist. Under the supervision of the Assistant Town Accountant, the Administrative Specialist is responsible for verifying and posting daily cash receipts, processing the weekly accounts payable warrant, approving purchase requisitions and revisions, year-end tasks to include 1099 processing, and special projects or reconciliations as needed.

Duties and Responsibilities

  • Reviews invoice batches and posts to create weekly accounts payable check run.
  • Verifies and posts cash receipts.
  • Processes approved manual check requests.
  • Reviews budgets to approve purchase requisitions and create purchase orders.
  • Reviews budgets and processes purchase order revisions.
  • Researches, analyzes, and resolves problems with vendors.
  • Processes 1099s at calendar year end.
  • Requests W9s and maintains within the system.

 

Requirements

The following requirements may be substituted by any equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the job:

  • Specialized knowledge/training of general accounting systems and procedures equivalent to an associate degree in accounting
  • Four (4) years of relevant experience as an administrative assistant/specialist, preferably in a local or state government setting
  • Knowledge of general accounting concepts and procedures, and use of computerized accounts payable and general ledger systems
  • Ability to learn and apply municipal accounting procedures, maintain reasonably complex financial records, and provide related information and records.

Preferred Qualifications:

  • Familiarity with Tyler Infinite Visions software and municipal accounting experience.
